Camper Info

A status bar leads the list: All, Applied and Accepted, with the live count on each. Waiting list and not attending sit quietly to the side — one click away, kept in case you accept them later. Choosing Applied turns it into your decision queue: the applied date shows, the oldest applications come first, applications that came in through your parent link are tagged Online, and each row has an Accept button. Narrow the list with the search box and the grade, part of summer, school and neighborhood filters, and click a heading to sort — status, applied date, part of summer, camper (by last name), grade, school or neighborhood. Check off a group of campers to change their status all at once (with a confirmation first), and save any filtered list as a PDF, Word document or Excel spreadsheet. There is also an Export everything option that gives you one spreadsheet with every field on file for every camper, including her family's payment figures. Each summer is its own season: when a new season starts, the list begins fresh and every earlier summer stays saved under Past seasons. When you add a camper who was in camp before, the program offers to autofill their contact info, emergency contacts, personal info, birthday, school, and mark them as a returning camper — with a reminder to look it over and make sure it's still accurate.

Application Requests

Before registration even opens, parents call asking for an application. Your office keeps a simple list of who asked, their phone number, email, mailing address and the camper's grade — then checks them off once the application goes out. Paste a parent's email or text and the program fills the details in for you. With one press you can email the application to everyone who gave an email address — it's attached for you, and each one is ticked off as sent. The list can also be saved as an Excel spreadsheet.

Numbers at a Glance

At the top, Quick lookup: choose a school, a neighborhood and a grade in any combination and the matching campers appear on the page — each one marked accepted or applied — so you can read the list straight to a parent on the phone. Below that, two big boxes, one for each half of the summer (full-summer campers count in both). Each shows total applicants, how many are accepted and how many are still pending, listed grade by grade in order with a small bar showing how full each grade is; click any grade to see that list. Only campers on the camper list are counted — waiting list and not attending are left out. Further down, every school and neighborhood shows its numbers plus a one-click list you can preview on screen or save as a PDF, Word document or Excel spreadsheet. Lists are always in grade order, then by last name — and school lists show each camper's teacher too.

Past Years

Past Years has its own spot on the top row, right after Staff. Every summer's campers stay saved for reference: you first pick the year you want, then view and export that season's list. Step-by-step instructions for starting a new season are right on the page, and if you already keep earlier years on a spreadsheet, you can download a blank sheet, copy your information in, and upload it — so an older summer becomes a past year and autofills for returning campers.

Bunks

Bunks opens with two choices: Bunk Requests and Bunk Lists. Bunk work uses accepted campers only.

Bunk Requests

Only accepted campers count here. It opens on "Check requests", which lists every written name that doesn't match an accepted camper — a spelling slip, or a friend who isn't coming — and offers the closest matches so you can fix or remove it in one click. Then: look up any camper to see who she asked for and who asked for her; have the program build the bunks for you (pick a grade and part of summer, say how many campers go in each bunk, and choose how closely to follow requests); or "Do it myself" — print cards, twelve to a page, with each camper's name, grade and three requests in big print, and her neighborhood, school, teacher and mother's cell underneath — then assign each camper to a bunk right on screen and save the list.

"Do not bunk with" sits under Office use on the camper form (never on the parent's application). Those names print on her card and are kept apart when bunks are built.

Bunk Lists

Every list you saved stays here. Try a few versions for a grade, then mark one as the final list. Any list can be viewed or saved as a PDF, Word or Excel file.

Payments

Every family has one account, listed A–Z by last name with a search box, and siblings are counted together. Your prices stay tucked into one line at the top until you open them. The Balances view answers 'where are we holding': one big number with the total still owed, a biggest-first list of balances with a deposit paid/owed filter, and a separate spot for credits and refunds due. Inside each family account, payments received come first, then discounts and fees, with a one-click statement PDF and a receipt PDF for every payment. Only accepted campers are charged; an Other tab keeps track of money from applicants and families who aren't coming (like a deposit to refund).
